Install NomosPay

📍 Where: monday.com → Apps Marketplace
  • 1 In monday.com, click Apps in the left sidebar.
  • 2 Search for NomosPay and open it.
  • 3 Click Add to Workspace and approve the permissions pop-up.

Admin role required Only monday.com Admins can install marketplace apps. If you are not an admin, ask your workspace admin to install it for you — it only takes 2 minutes.
What you'll see after this step A "NomosPay installed" confirmation. The app icon appears in your sidebar.

Open the Firm Dashboard

📍 Where: Left sidebar → NomosPay

The Firm Dashboard is your main control centre. It has 9 tabs: Overview, Time Entries, Pre-Bills, Invoices, Trust Ledger, Rate Matrix, Reports, LEDES Export, and Settings.

  • 1 Click the NomosPay icon in the left sidebar (added automatically during install).
  • 2 The Firm Dashboard opens. You will land on the Overview tab.
  • 3 Right-click the icon → Pin to sidebar so it's always one click away.
Expected result You see "No matters configured yet" on the Overview tab. That's normal — you'll fix it in the next step.

Connect your Matter Board

📍 Where: Firm Dashboard → Settings → Board Mapping

NomosPay needs to know which monday.com board contains your matters (cases / files / projects). This is a one-time setup.

  • 1 Go to the Settings tab and click Board Mapping.
  • 2 Select your matters board from the dropdown.
  • 3 Map the columns: which column is the Matter Name, which is the Client, which is the Billing Attorney, etc.
  • 4 Click Save mapping. NomosPay confirms it can access the board.
💡
Multiple boards? If you have separate boards (e.g., Litigation and Corporate), click Add another board. All your matters appear together in the billing view.
Expected result The Overview tab now shows your matters listed with their billing status.

Set your Jurisdiction & Preferences

📍 Where: Firm Dashboard → Settings → Localization & Tax

Tell NomosPay where your firm is located. This controls billing rules, currency, date format, and tax settings.

  • 1 Primary Jurisdiction — choose your state or country (e.g., United States – New York). This sets date formats and default rounding rules.
  • 2 Time Rounding — most firms use 6-minute increments (0.1 hr). Select and set direction to "Round up".
  • 3 Firm Tax ID — enter your EIN or VAT number. It prints on all invoices automatically.
  • 4 Currency & Tax Rate — select USD (or your currency). Set tax rate to 0% if legal services are exempt in your jurisdiction.
  • 5 Click Save settings.

Set Billing Rates

📍 Where: Firm Dashboard → Rate Matrix

Add each timekeeper (attorney, paralegal) and their hourly rate. Do this before logging time — rates are applied at the moment an entry is saved.

Set rates first! Time entries logged before rates are configured will have a $0 amount and must be corrected manually.
  • 1 Click Add Timekeeper and select a monday.com user.
  • 2 Set their role: Attorney (AT), Paralegal (PA), or Clerk (CL).
  • 3 Enter their default hourly rate (e.g., $350/hr). Click Save.
  • 4 Optionally, set a different rate for specific clients or matters — click Add client rate or Add matter rate.

Rate priority (highest wins) Matter rate → Client rate → Practice area rate → Default timekeeper rate. NomosPay picks the most specific rate automatically.

Log Your First Time Entry

📍 Where: Open any Matter item → NomosPay tab

The fastest way to log time is directly from the matter item in your monday.com board.

  • 1 Open a matter item (click the item name in your board).
  • 2 Click the NomosPay · Matter Billing tab in the right panel.
  • 3 Click Log Time. Choose Timer (starts counting live) or Manual (type the hours directly).
  • 4 In the Task Code field, type a keyword like "deposition" or a code like "L300". NomosPay suggests matches from 200+ UTBMS codes.
  • 5 Type a short billing narrative — describe what you did in 1–2 sentences.
  • 6 Click Save Entry.

Expected result The entry appears in the matter's time entry list with the amount calculated. It is now "unbilled" and ready to be included in a pre-bill.

Create a Pre-Bill

📍 Where: Firm Dashboard → Pre-Bills → Create Pre-Bill

A Pre-Bill is an internal draft invoice. You review and approve it before sending it to the client. Think of it as a "review and polish" step.

  • 1 Click Create Pre-Bill. Select the matter and billing period (e.g., March 2026).
  • 2 NomosPay loads all unbilled time entries for that period. Review each line.
  • 3 Optional: edit narratives, reduce hours, mark entries as No Charge, or apply a write-down (reduction in billed amount).
  • 4 Click Submit for Approval. The billing partner gets a monday.com notification to review.

Approval required The pre-bill cannot become a final invoice until a partner approves it. Partners can approve as-is, request changes, or add comments. The full trail is saved for audit.

Build & Export the Invoice

📍 Where: Firm Dashboard → Pre-Bills → (approved pre-bill) → Finalize

Once the pre-bill is approved, convert it to a final invoice and export it.

  • 1 Find the approved pre-bill in the list (marked with a green ✓) and click Finalize Invoice.
  • 2 Review the totals: fees, expenses, applicable taxes, and balance due.
  • 3 Click Export and pick your format(s):

Expected result File(s) download immediately. Invoice status changes to Sent. It now appears in your Invoices tab with a sequential invoice number.

Record Payment

📍 Where: Firm Dashboard → Invoices → Record Payment

When the client pays, mark the invoice as paid so your reports stay accurate.

  • 1 Go to Invoices, find the invoice with status Sent, and click Record Payment.
  • 2 Enter the payment date and the amount received.
  • 3 Paying from trust? Toggle Pay from Trust. NomosPay checks the trust balance, records the disbursement, and creates the trust-to-operating transfer automatically.
  • 4 Click Save. Invoice status becomes Paid.

Partial payments If the client pays in instalments, record each payment separately. The invoice shows a Partially Paid status and the remaining balance until it is fully paid.
You're done! Your realization and collection metrics update automatically on the Overview tab. Congratulations — you've completed the full billing cycle in NomosPay.

✨ Pro tips from experienced users

Use the live timer. Even a 15-minute phone call is worth logging. Small entries add up fast. Start the timer at the beginning of every task.
💰
Set rates before logging any time. Entries created before rates are configured show $0 and require manual correction. Set up your rate matrix first.
✍️
Write specific narratives. "Reviewed deposition transcript of J. Smith re: breach of contract claim" beats "reviewed documents". Specific narratives reduce client write-down requests.
📅
Bill monthly. WIP older than 60 days is harder to collect. Running pre-bills every month keeps your cash flow healthy.
📂
Export PDF + LEDES together. Send the PDF to the client; save the LEDES file in your document management system for e-billing submissions.
🏦
Reconcile trust monthly. Go to Trust Ledger → Reconcile every month to catch any discrepancies before they become a bar complaint.
